Summarize with AI
Start the year-end review while you can still retrieve messages, provider records, and details you remember. The purpose is to make the year’s account accurate and usable, including facts that remain uncertain.
For a calendar-year taxpayer, work performed in January belongs to the new year. Correcting a December entry in January does not change when the underlying work occurred.
1. Reconcile people, properties, and durations
Check for entries assigned to the wrong property or person, duplicated imports, and overlapping records of the same work. Separate personal breaks, idle availability, and provider labor from your own tasks.
Review vague notes against their sources. Replace “maintenance” with the work you can substantiate, without adding details you no longer know. If the duration was approximate, preserve that fact.
2. Review thresholds with the applicable rules
An annual total is useful only after the relevant activity and test are identified. Threshold wording matters: Test 1 requires more than 500 hours; Test 3 requires more than 100 hours and at least as much participation as any other individual. See Treasury Regulation 1.469-5T(a).
Real estate professional status has separate requirements. Do not assume that reaching a displayed hour total establishes qualification, or create unnecessary work primarily to produce qualifying hours. Bring a shortfall or uncertain classification to your adviser rather than padding entries.
3. Include customer use spanning year-end
Download booking and lease records, including extensions and periods that include December 31. Keep personal-use and unavailable periods identifiable.
Do not compute average customer use solely from stays completed before year-end. Your adviser may need full rights-of-use periods and property-class information. Preserve the agreements behind the summary, particularly when a long booking crosses into January.
4. Collect provider and supporting records
Request available manager, cleaner, and contractor records that identify the people and work involved. Distinguish an invoice amount from a duration and a crew total from one individual’s time.
Recover useful receipts and photographs before accounts or links expire. Evidence attachments are not mandatory for every participation entry, and the absence of a purchase receipt does not mean no work occurred. Separately address the substantiation requirements for any expense claimed.
5. Keep corrections and open questions visible
Review voice-generated or imported notes against the source. Resolve errors you can support, and keep an explanation for significant corrections. An unanswered tax-treatment question does not justify deleting a factual record of work.
Separate unsupported durations from established facts when preparing the handoff. Give your adviser the uncertainty rather than quietly converting it to a precise number or hiding the original record.
6. Review and preserve the handoff copy
In HostHours, review the months and report warnings. Finalizing a month marks review and restricts ordinary editing; it can be reopened for correction. It does not make the record permanently immutable or tax-approved.
Choose the appropriate export and preserve the copy you share. Keep original supporting files where needed, since exports differ in what they include. The Ready or DRAFT guide explains those boundaries.
Agree on a delivery date with your CPA and send a clearly labeled preliminary packet if other tax documents are still pending. December 31 is not a universal deadline for exporting or correcting a log. What matters is an accurate account of the work performed in the relevant tax year.

Frequently asked questions
Must I export my rental log before December 31?
No universal rule requires an export by that date. For calendar-year taxpayers, the work must belong to the appropriate year; later corrections should preserve its actual date.
Does exactly 500 hours satisfy the first participation test?
No. Test 1 requires more than 500 hours. The relevant activity, countable work, and any other applicable requirements still need professional review.
Should uncertain tax treatment cause me to delete an entry?
Keep factual work records and identify the uncertainty. Correct unsupported details without hiding the original issue or replacing uncertainty with invented precision.
What should I send before every year-end document is available?
Agree with your CPA on a preliminary handoff that identifies missing documents and unresolved questions. Preserve the shared copy and provide clearly explained updates later.
