Terms of Use

These Terms of Use (“Terms”) are an agreement between you and the developer or seller identified in the store listing where you obtained HostHours (“HostHours,” “we,” “us,” or “our”). They govern the HostHours mobile application, hosthours.app website, and related support (together, the “Service”).

By creating an account, purchasing a subscription, or using the Service, you agree to these Terms and the Privacy Policy. If you do not agree, do not use the Service. If you use HostHours for a business or another organization, you represent that you are authorized to accept these Terms for it.

The Service is intended for adults managing US rental-property records. You must be legally able to enter a binding agreement where you live. You must provide accurate account information, keep your device and sign-in method secure, and promptly notify us if you believe your account has been accessed without permission.

Your workspace is tied to your HostHours account. Do not share passwords, access another person's private workspace without authorization, or transfer an account in a way that compromises records, purchases, or privacy. Apple and Google sign-in are also subject to the applicable provider's terms.

HostHours helps short- and long-term-rental owners organize property context, activity hours, contributors, factual notes, optional supporting evidence, monthly reviews, reminders, and exports for professional review. Manual entry, quick log, repeat, detailed entry, and timer are the core capture paths. Active timers can appear on supported system surfaces such as the iOS Lock Screen and Dynamic Island or an Android ongoing notification.

Source-assisted features provide editable starting points: Voice AI proposes a draft, Calendar Recall shows clues from selected device calendars, CSV import validates rows before you append them, and Google Places can suggest US cities. These features do not create an activity without your confirmation. Unknown duration remains unknown until you provide or confirm it.

Features can depend on your plan, compatible app and operating-system version, permissions, internet connection, provider availability, and safety or rollout controls. Collaboration, a CPA portal, bookkeeping, mileage, OCR, and automatic unconfirmed activity creation are not included in the current Service.

Plan features

• Free: one physical property, up to 15 currently saved activity records, built-in people and categories, on-screen report previews, no new image or PDF evidence files, and Export my data.
• Essential: up to three physical properties, unlimited activity records, customizable people and categories, up to one image or PDF per activity, the standard activity CSV, and Export my data.
• Pro: unlimited physical properties, up to five images or PDFs per activity, Voice AI, device Calendar Recall, reviewed CSV import, and generation and sharing of the complete PDF and CPA CSV packet.

A physical property counts once across its tax-year workspaces. Plan limits apply to future creation, uploads, assisted processing, and exports. A downgrade does not silently delete readable records or existing evidence. You may need to archive extra properties or select the property that remains active before adding new records on a lower plan. Export my data remains available on every plan.

Store subscriptions

Free has no store product. Essential and Pro can be offered as monthly and annual auto-renewing subscriptions. Before you confirm a purchase, the App Store or Google Play checkout shows the plan, features, localized price and currency, billing period, taxes, renewal terms, and any offer for which you are eligible. HostHours does not currently promise a free trial or introductory offer; an offer applies only if the store checkout expressly presents it to you.

• Subscriptions renew automatically until canceled through the store.
• Cancel before the store's renewal deadline to avoid the next charge.
• Access normally continues through the paid period after cancellation.
• Use Restore purchases in the app if an eligible purchase is not recognized.
• Apple or Google controls billing, plan replacement timing, refund eligibility, and refund processing.

Manage an Apple subscription at Apple Subscriptions or a Google Play subscription at Google Play Subscriptions.

Deleting your HostHours account or uninstalling the app does not cancel an App Store or Google Play subscription. Cancel renewal separately through the store. Canceling a subscription also does not delete the HostHours account or its records.

Voice AI

Voice AI is a Pro feature subject to fair-use, security, and provider limits. The device's speech-recognition service turns your recording into text; HostHours sends the transcript or text you type, not raw audio, through an authenticated server to OpenRouter and the configured AI model provider, currently OpenAI, with limited property, contributor, category, locale, date, and time-zone context. The request requires Zero Data Retention routing and denies provider data collection.

AI output can be incomplete or wrong. You must review and confirm every proposed field before saving. Reaching a Voice allowance or a provider outage does not prevent manual logging.

Device Calendar Recall

With Pro and your permission, HostHours reads visible events from only the device calendars and date range you select. It does not change events or connect directly to Google Calendar. Event titles, dates, and timed length are clues, not independent proof or automatically saved work.

Reviewed CSV import

HostHours reads a selected CSV locally, lets you map columns, flags invalid or possible duplicate rows, and asks you to select and confirm rows. The raw file is not uploaded or retained. Free and Essential can inspect a local validation preview; Pro is required to append reviewed rows. Existing activities are not overwritten.

Google Places

If you use property-location autocomplete, HostHours sends the location text you type to Google Places through an authenticated server function. You may skip suggestions and enter city and state manually.

HostHours is a factual recordkeeping tool. It does not provide tax, legal, accounting, financial, compliance, or audit advice and is not a substitute for a qualified professional.

Dashboard comparisons, participation references, evidence coverage, record-quality indicators, Calendar clues, Voice or CSV drafts, reminders, warnings, and exports for CPA review are organizational aids. They do not determine material participation, active or passive treatment, deduction eligibility, substantiation, tax status, required retention periods, tax savings, audit acceptance, or another legal result.

You are responsible for accurate and complete records, choosing the correct property and tax year, confirming source-assisted fields, preserving source materials, and obtaining advice about your circumstances from a qualified CPA, attorney, or other professional.

You retain ownership of information and files you submit (“User Content”). You give HostHours and its service providers a limited, non-exclusive license to host, copy, process, transmit, back up, and display User Content only as needed to operate, secure, recover, and support the Service, provide processing you request, comply with law, and complete export or sharing instructions. This license ends when content is deleted, subject to the limited backup, security, transaction, and legal retention described in the Privacy Policy.

You represent that:

• you have the right to submit User Content and permit this processing;
• your records are not knowingly false, deceptive, unlawful, or infringing;
• you will not upload malware or content that violates another person's privacy, intellectual-property, or other rights;
• you will redact unnecessary sensitive data before uploading, processing, or sharing it; and
• you will not treat a Voice, Calendar, CSV, evidence, or location suggestion as independently verified.

HostHours and its licensors own the Service, software, visual design, trademarks, and other materials that are not User Content. Subject to these Terms, we grant you a limited, personal, non-exclusive, non-transferable, revocable license to use the app for its intended purpose.

You may not:

• use the Service unlawfully or violate another person's rights;
• access or attempt to access another user's account, files, calendar clues, or storage;
• bypass authentication, account isolation, subscription gates, file limits, provider safeguards, or security controls;
• submit malicious instructions, files, or data intended to manipulate a model, corrupt an import, or cause unauthorized processing;
• use automated traffic that disrupts or overloads the Service or its providers;
• reverse engineer the Service except where applicable law expressly permits it;
• resell, sublicense, or provide the Service as a competing hosted service without permission; or
• misuse HostHours branding or represent that HostHours verified your records or tax position.

We may remove content or restrict access where reasonably necessary to address illegality, infringement, abuse, a security risk, or a violation of these Terms.

We work to keep HostHours reliable, but the Service may be interrupted by maintenance, a feature or safety control, entitlement-verification failure, provider or model changes, network loss, device failure, store action, or events outside our control. We do not promise uninterrupted, error-free, or universal device availability.

HostHours uses an account-scoped device cache and Supabase cloud sync. A locally saved change or pending evidence upload is not necessarily a completed cloud upload. Review displayed sync and upload status, keep independent copies of important source files, and export records when appropriate. Recovery systems reduce risk but do not replace your own copies or guarantee that every item can be restored.

Export my data JSON includes records and evidence metadata but not original evidence files. The standard activity CSV is not the complete professional-review packet. Pro PDF and CPA CSV exports can contain warnings or a DRAFT status when facts are missing. Review every export before relying on it or sending it to another person.

You may stop using HostHours at any time. Subscription cancellation, account deletion, and uninstalling the app are separate actions. Cancel renewal in the applicable store. To permanently delete the HostHours account, open Settings → Profile & account → Delete account after optionally exporting your data. Deletion cannot be undone.

Account deletion removes the live authentication account, cloud workspace, private evidence, related metadata, RevenueCat customer profile, and account-scoped local data. Restricted recovery copies may remain after live deletion until separately purged from recovery storage. Provider backups, security logs, and store transactions may also remain under the provider's process or where law requires them. See the Privacy Policy.

We may suspend or terminate access when reasonably necessary to protect the Service or users, comply with law, address fraud or security risk, or respond to a material or repeated violation of these Terms. Where practicable and lawful, we will provide notice and an opportunity to export data or address the issue.

Provisions that by their nature should survive termination—including ownership, payment obligations, professional disclaimers, warranty disclaimers, and liability limits—continue to apply.

TO THE MAXIMUM EXTENT PERMITTED BY LAW, THE SERVICE IS PROVIDED “AS IS” AND “AS AVAILABLE.” HOSTHOURS DISCLAIMS IMPLIED WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, NON-INFRINGEMENT, AND ANY WARRANTY THAT RECORDS, AI OUTPUT, CALENDAR OR CSV CLUES, EVIDENCE, BACKUPS, OR REPORTS WILL PRODUCE A TAX, LEGAL, ACCOUNTING, COMPLIANCE, OR AUDIT OUTCOME.

TO THE MAXIMUM EXTENT PERMITTED BY LAW, HOSTHOURS AND ITS SERVICE PROVIDERS WILL NOT BE LIABLE FOR INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, EXEMPLARY, OR PUNITIVE DAMAGES, OR FOR LOST PROFITS, REVENUE, TAX BENEFITS, BUSINESS, GOODWILL, OR DATA, ARISING FROM THE SERVICE, EVEN IF ADVISED THAT SUCH LOSS WAS POSSIBLE.

Some jurisdictions do not allow certain exclusions or limitations. In those places, these provisions apply only to the extent permitted, and mandatory consumer rights remain unaffected. Nothing in these Terms excludes liability that cannot lawfully be excluded.

Changes

We may update these Terms when the Service or law changes. The date above will change, and we will provide additional notice when required for a material change. Continued use after revised Terms take effect means you accept them unless law requires another form of consent.

Store terms

Apple's Standard Licensed Application End User License Agreement also governs the app license when downloaded from the App Store. Google Play terms apply to downloads and purchases made through Google Play. Store terms control if they conflict with these Terms on a matter the store governs.

Disputes and mandatory rights

Contact support@hosthours.app first so we can try to resolve a concern informally. Applicable law and any non-waivable protections in your place of residence continue to apply. A court with lawful jurisdiction may hear a dispute that cannot be resolved informally.

Entire agreement and severability

These Terms, the Privacy Policy, applicable store terms, and purchase terms shown at checkout form the agreement about the Service. If a provision is unenforceable, it will be limited to the minimum extent necessary and the remaining provisions continue. Failure to enforce a term is not a waiver. You may not assign these Terms without our consent; we may assign them as part of a reorganization, financing, merger, acquisition, or sale of the Service.
