Terms of Use

These Terms of Use (“Terms”) are an agreement between you and the operator of HostHours (“HostHours,” “we,” “us,” or “our”) governing the HostHours mobile application, hosthours.app website, and related support (the “Service”). When these Terms become effective, creating an account, purchasing a subscription, or using the Service means you agree to them and our Privacy Policy.

If you do not agree, do not use the Service. If you use HostHours for a business or other organization, you represent that you have authority to bind it, and “you” includes that organization.

These Terms describe the current repository candidate. They do not prove that HostHours is publicly available in the App Store or Google Play, that paid products can be purchased, or that every feature below is enabled. Signed-device release testing, current store and RevenueCat evidence, Voice AI controls, the production evidence-limit migration, public HTTPS pages, and support-mailbox delivery still require final owner verification.

The legal operator identity and address, final effective date, and any specific governing-law choice have not been supplied and are intentionally not invented here. The responsible owner or adviser must review and approve this document, the liability provisions, subscription terms, provider language, and those missing details before public launch.

You must meet the minimum age and legal-capacity requirements that apply where you live. The final operator-approved Terms must state any specific minimum age before launch. You must provide accurate account information, keep sign-in credentials secure, and promptly update information that changes. You are responsible for activity under your account unless you promptly notify us of unauthorized use.

One person may not access another person's private workspace without authorization. Do not share passwords or attempt to transfer an account in a way that compromises records, purchases, or another user's privacy. Apple or Google sign-in is also subject to that provider's terms.

HostHours helps US short-term-rental (STR) and long-term-rental (LTR) owners organize property context, activity hours, people, factual notes, optional supporting evidence, monthly review, reminders, and report exports. Manual entry, repeat, and timer remain the core capture paths. Features and limits depend on the resolved plan, compatible app/server version, active store entitlement, rollout flags, device support, and provider availability.

Source-assisted tools can create starting points for review: Pro Voice AI uses OpenRouter to propose an editable draft; Pro Calendar Recall reads events from device calendars you selected; Pro reviewed CSV import appends only rows you confirm; and Google Places may suggest US cities from the location text you type. These tools do not create an activity without explicit confirmation.

HostHours does not independently verify that work occurred, determine who performed it, authenticate uploaded evidence, infer unknown duration, file tax forms, communicate with the IRS or another authority for you, or guarantee that a CPA, tax authority, court, lender, or other third party will accept an export.

The release-candidate plan contract is:

• Free: one physical property, up to 15 currently saved activity records, built-in people and categories, on-screen report previews, zero new image or PDF evidence files, and Export My Data.
• Essential: up to three physical properties, unlimited activity records, customizable people and categories, up to one image or PDF per activity, the standard activity CSV, and Export My Data.
• Pro: unlimited physical properties, up to five images or PDFs per activity, Voice AI, device Calendar Recall, reviewed CSV import, and generation and sharing of the complete PDF and CPA CSV packet.

A physical property counts once across tax years. The 0/1/5 evidence boundary applies to new attachments after the compatible server and app release is active. A downgrade restricts future creation, uploads, automation, or exports; it does not silently erase readable records or existing evidence. Extra properties may need to be archived or a permitted active property selected before adding new work on a lower plan. Export My Data remains available on every plan.

Free has no store product. Essential and Pro are intended to have monthly and annual store variants. The live Apple App Store or Google Play checkout controls localized price, currency, billing period, taxes, renewal terms, eligibility, and any offer actually presented before confirmation. The release-candidate packaging does not include a free trial or introductory offer.

• Paid subscriptions renew automatically unless canceled through the applicable store before its renewal deadline.
• You can restore eligible purchases with the in-app Restore purchases action.
• Cancellations take effect under the store's rules; access may continue through the paid period.
• Refund requests and eligibility are handled by Apple or Google under their policies.
• Plan changes and replacement timing are controlled by the applicable store and verified entitlement.

Deleting your HostHours account or uninstalling the app does not cancel an App Store or Google Play subscription. Cancel it separately through the store. Canceling a subscription also does not delete your HostHours account or records.

If you download HostHours through Apple's App Store, Apple's Standard Licensed Application End User License Agreement also governs your license to the app. Google Play terms apply to downloads and purchases made there.

Voice AI via OpenRouter

Voice AI is available only after Pro access and the relevant rollout controls are verified. A new Free or Essential Voice task should reach the plan choice before microphone permission or content collection. In the current client, platform speech recognition creates text first. HostHours sends the transcript or typed description, not the raw recording, through an authenticated Edge Function to OpenRouter together with limited property, contributor, category, locale, date, and time-zone context. Platform speech recognition may be processed by Apple or Google under its own terms when it is not entirely on-device.

The server is designed to require OpenRouter Zero Data Retention routing, deny provider data collection, validate strict structured output, and keep application logs free of source content. These controls and a real production request still must pass the launch gate; Voice must remain disabled if they do not. Model output is untrusted and can be wrong. You must review and confirm the property, date, duration, contributor, category, and note before a normal activity is saved.

Read-only device Calendar Recall

After Pro access is verified and you start Calendar Recall, HostHours asks for operating-system calendar access and uses it only to read visible events from the calendars and date range you select, including Google calendars already synced to the device. HostHours does not change calendar events or authorize directly with Google Calendar. Event titles, dates, and timed length are editable clues, not independent proof or automatically saved work.

Reviewed CSV import

HostHours reads and maps a selected CSV locally, shows invalid and possible duplicate rows, and asks you to select and confirm rows. The raw file is not uploaded or retained. Free and Essential can inspect the local validation preview; verified Pro access is required to append reviewed rows. Existing activities are never overwritten by the import.

Google Places city suggestions

If you use property-location autocomplete, the text you type is sent through a HostHours server function to Google Places for US city suggestions. You may ignore suggestions and enter city/state manually. Do not enter unrelated sensitive data in the location field.

HostHours is a factual recordkeeping tool. It is not tax, legal, accounting, financial, or audit advice and is not a substitute for a qualified professional.

Dashboard comparisons, hour references, evidence coverage, record-quality indicators, Calendar clues, Voice or CSV drafts, reminders, warnings, and “for CPA review” exports are organizational aids. They do not determine material participation, active/passive treatment, deduction eligibility, substantiation, retention periods, tax savings, compliance, or an audit result. A displayed comparison—including a 100-hour or other reference—does not establish qualification under US tax law.

You are solely responsible for accurate and complete records, selecting the correct property and tax year, confirming source-assisted fields, preserving source materials, and obtaining advice about your circumstances from a qualified CPA, attorney, or other professional.

As between you and HostHours, you retain ownership of information and files you submit (“User Content”). You give HostHours and its providers a limited, non-exclusive license to host, copy, process, transmit, back up, and display User Content only as needed to operate, secure, recover, and support the Service, apply the source-assisted processing you request, comply with law, and carry out export or sharing instructions. This license ends when content is deleted, subject to limited backup, legal, security, entitlement, and transaction retention described in the Privacy Policy.

You represent that:

• you have the right to submit User Content and permit this processing;
• your records are not knowingly false, deceptive, unlawful, or infringing;
• you will not upload malware or content that violates another person's privacy, intellectual-property, or other rights;
• you will review and redact unnecessary sensitive data before uploading, processing, or sharing it; and
• you will not treat an AI, calendar, CSV, evidence, or location suggestion as independently verified.

HostHours is not a public content-hosting service. We may remove content or restrict access where reasonably necessary to address security, illegality, infringement, or a violation of these Terms.

You may not:

• use the Service in violation of law or another person's rights;
• access or attempt to access another user's account, files, calendar clues, or storage path;
• probe, bypass, or defeat authentication, row-level access controls, subscription gates, file limits, provider safeguards, or security measures;
• submit instructions or content intended to manipulate a model, corrupt an import, or cause unauthorized processing;
• upload malicious code or use automated traffic that disrupts or overloads the Service or its providers;
• reverse engineer the Service except where applicable law expressly permits it;
• resell, sublicense, or make the Service available as a competing hosted service without permission; or
• use HostHours branding or content in a misleading way.

We work to keep HostHours reliable, but the Service may be interrupted by maintenance, feature or safety flags, entitlement-verification failure, provider/model changes, network loss, device failure, app-store action, or events outside our control. Features may change as the product evolves. We do not promise that the Service or an assisted capability will always be available, error-free, or compatible with every device.

HostHours uses an account-scoped device cache and Supabase cloud sync. A local or failed evidence upload is not a completed cloud upload. You are responsible for monitoring displayed sync/upload status, keeping independent copies of important source records, exporting when appropriate, and not deleting the app or device-only files while changes are pending.

While production remains on Supabase Free, the offsite recovery path is a self-managed logical database archive and incremental copy of private evidence to a private Backblaze B2 bucket. B2 is not the live backend, Supabase-managed backup, or point-in-time recovery. Source deletions are not mirrored immediately, database dumps do not include binary files, and the complete disposable restore/sample-object drill remains a launch gate. HostHours does not guarantee a recovery point or recovery time.

Export My Data JSON does not embed original evidence binaries. Essential's standard activity CSV is not the complete CPA packet. Pro PDF and CPA CSV exports may contain warnings, may omit an unavailable original file, and can be marked DRAFT. Check every export before relying on it or sending it to a professional.

You may stop using HostHours at any time. Subscription cancellation, account deletion, and uninstalling are three separate actions. Cancel paid renewal in the applicable store. To permanently delete the HostHours account, use Settings → Profile & account after optionally exporting your data. Deletion cannot be undone and does not cancel a store subscription.

Account deletion removes the RevenueCat customer profile, fences new writes, removes live private evidence, deletes the authentication account and cloud workspace, and then attempts local account-data cleanup. Some provider logs, store transactions, and self-managed B2 recovery copies may remain until the responsible provider or operator removes them under the applicable retention/rotation process. Apple-linked users may also need to remove HostHours from Sign in with Apple if token revocation cannot be verified. Follow any in-app retry or manual-cleanup warning.

We may suspend or terminate access when reasonably necessary to protect the Service or users, comply with law, address fraud or security risk, or respond to a material or repeated violation of these Terms. Where practicable and lawful, we will provide notice and an opportunity to export data or address the issue.

Terms that by their nature should survive termination—including ownership, payment obligations, professional disclaimers, warranty disclaimers, liability limits, and dispute provisions—continue to apply.

TO THE MAXIMUM EXTENT PERMITTED BY LAW, THE SERVICE IS PROVIDED “AS IS” AND “AS AVAILABLE.” HOSTHOURS DISCLAIMS IMPLIED WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, NON-INFRINGEMENT, AND ANY WARRANTY THAT RECORDS, AI OUTPUT, CALENDAR OR CSV CLUES, EVIDENCE, BACKUPS, OR REPORTS WILL PRODUCE A TAX, LEGAL, ACCOUNTING, COMPLIANCE, OR AUDIT OUTCOME.

TO THE MAXIMUM EXTENT PERMITTED BY LAW, HOSTHOURS AND ITS SERVICE PROVIDERS WILL NOT BE LIABLE FOR INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, EXEMPLARY, OR PUNITIVE DAMAGES, OR FOR LOST PROFITS, REVENUE, TAX BENEFITS, BUSINESS, GOODWILL, OR DATA, ARISING FROM THE SERVICE—even if advised that such loss was possible.

Some jurisdictions do not allow certain disclaimers or liability limits. In those places, these provisions apply only to the extent allowed, and mandatory consumer rights remain unaffected. No fixed aggregate liability cap is set in this draft; any cap requires explicit operator and legal approval before these Terms become effective.

Changes

We may update these Terms as the Service changes. The production version will show an approved effective date and provide additional notice when a material change requires it. Continued use after revised Terms take effect means you accept them, unless law requires another form of consent.

Applicable law

No specific governing jurisdiction is selected in this draft. Applicable law and non-waivable consumer protections in your place of residence continue to apply. Courts with lawful jurisdiction may hear disputes that the parties cannot resolve informally, subject to the final operator-approved Terms.

Entire agreement and severability

Once effective, these Terms, the Privacy Policy, applicable store terms, and purchase terms shown at checkout form the agreement about the Service. If a provision is unenforceable, it will be limited to the minimum extent necessary and the remaining provisions continue. Failure to enforce a term is not a waiver. You may not assign these Terms without our consent; the operator may assign them as part of a reorganization, financing, merger, acquisition, or sale of the Service.
