Contact support

Email us at support@hosthours.app. Tell us what you were trying to do, what happened, and the device, operating-system, and HostHours app versions you are using. Screenshots are welcome when they do not expose sensitive records.

Do not send your password, full payment-card details, tax identification number, OpenRouter transcript, or unredacted sensitive documents. HostHours support will never ask for your password. The support mailbox must be verified as able to receive and reply before public launch.

For a privacy or data request, use the same address and include “Privacy request” in the subject. We may need to verify that the request comes from the account owner.

Account and sign-in

Email confirmation or password reset

From the sign-in screen, you can resend an account-confirmation email or request a password-reset link when production email delivery is available. Open the newest link on the device where HostHours is installed. If it has expired, request another link instead of reusing it.

Apple or Google sign-in

Use the same sign-in method and provider account each time. Apple may provide a private relay email if you choose Hide My Email. If social sign-in does not complete, confirm that the system browser can return to HostHours and try again.

Account security

Keep your device and email account protected. If you believe someone accessed your HostHours account, change your email-provider password, sign out of HostHours, and contact support. Never approve an unexpected sign-in or recovery prompt.

Free, Essential, and Pro limits

HostHours supports both short-term rentals (STR) and long-term rentals (LTR). The release-candidate plan contract is:

  • Free: one physical property, up to 15 currently saved activity records, built-in people and categories, on-screen report previews, no new image or PDF evidence attachments, and Export My Data.
  • Essential: up to three physical properties, unlimited activity records, customizable people and categories, up to one image or PDF per activity, the standard activity CSV, and Export My Data.
  • Pro: unlimited physical properties, up to five images or PDFs per activity, Voice AI drafts, device Calendar Recall, reviewed CSV import, and the complete PDF and CPA CSV packet.

A physical property counts once across its tax-year workspaces. A downgrade limits future creation, uploads, or exports; it does not silently erase readable records or existing evidence. You may need to choose or archive extra active properties before adding more work on a lower plan.

The 0/1/5 evidence rule and related property limits require the compatible app and server release. They are product rules for new actions, not proof that the production migration or a public store build is already live.

Voice AI, Calendar Recall, and CSV import

Voice AI drafts

Voice AI is a Pro capability. A new Voice task on Free or Essential should open the Pro choice before requesting microphone permission or collecting content. In the current client, your device turns speech into text first. The transcript or text you type—not the raw recording—is sent through the authenticated HostHours server to OpenRouter with limited property, contributor, category, locale, and time context.

OpenRouter returns a structured suggestion. Review and edit the property, date, duration, person, category, and factual note; nothing becomes an activity until you explicitly save it. If entitlement, network, or provider processing fails, retry from the preserved local input. Do not include secrets or unrelated personal information.

Device Calendar Recall

Calendar Recall is a Pro capability that requests calendar access only after you open it. HostHours uses that access only to read the device calendars you select—including Google calendars already synced to the device. HostHours does not change an event or save it as work automatically. An event title, date, and timed length are only an editable clue; confirm what actually happened and the actual duration before saving.

If access was denied, open HostHours in device Settings and allow Calendar access, then return to the app. If no clues appear, confirm that at least one visible, synchronized calendar is selected and that the event falls in the date being viewed.

Reviewed CSV import

HostHours reads a selected CSV on the device, lets you map columns, flags invalid or duplicate rows, and requires you to choose and confirm rows. The raw CSV is not uploaded or retained. Free and Essential can inspect the local mapping and validation preview; verified Pro access is required to append selected rows. Existing activities are not overwritten.

Sync and private evidence

HostHours keeps an account-scoped offline cache on your device and syncs your workspace to Supabase when you are signed in and online. Evidence images and PDFs are copied into app-managed device storage before upload. Uploaded files live in a private Supabase Storage bucket, are restricted to the signed-in account, and are opened with expiring signed links.

  • Sync needs attention: keep the app installed, reconnect to the internet, and use Retry sync. Continue offline only when HostHours confirms that a valid cache exists for the current account.
  • Evidence shows Failed or Local: the device copy may still be available, but the upload is incomplete. Retry before changing devices or deleting the app.
  • File limits:each accepted image or PDF can be up to 10 MiB. The account-owned physical file limit is 500 MiB, in addition to the plan's 0/1/5 per-activity limit for new attachments.

A self-managed recovery workflow copies logical database archives and private evidence objects from Supabase to a private Backblaze B2 bucket. B2 is not the live file backend, Supabase-managed backup, or point-in-time recovery. A complete disposable restore and sampled evidence recovery remain a launch gate, so HostHours does not guarantee a recovery point or recovery time. Keep independent copies of important source files.

Reports and data exports

Essential includes the standard activity CSV for a spreadsheet workflow. Pro can generate and share the complete PDF and CPA CSV packet with review warnings, evidence references, and revision context. Free and Essential may see an on-screen preview of the full packet but cannot generate and share it as a Pro export.

A packet may be marked DRAFT when details are missing or factual warnings remain. A Pro user can still export it, but should review the warning list and regenerate it after corrections. A report is not a tax conclusion or a promise that a third party will accept the records.

Export My Data is available on every plan. Its portable JSON includes workspace records and evidence metadata, but does not embed original evidence files. Preserve photos, receipts, invoices, and PDFs separately. Sharing uses the device share sheet, and the selected destination's privacy and retention practices then apply.

Subscriptions and billing

Essential and Pro purchases are intended to be processed by Apple's App Store or Google Play, with entitlement status supplied to HostHours through RevenueCat. HostHours does not receive your full payment-card number. Free has no store product.

  • Use Restore purchases if an eligible purchase is not recognized.
  • Use the same store account that made the original purchase.
  • Manage renewal, plan changes, or cancellation in the applicable store.
  • Refund eligibility and processing are controlled by the store where you purchased.

Deleting a HostHours account or uninstalling the app does not cancel an App Store or Google Play subscription. Cancel separately in the store. Canceling a subscription also does not delete your HostHours account or its records.

Export or delete your account

In HostHours, open Settings → Profile & account. You can first use Export My Data, then choose the separate permanent-delete action and confirm it. Deleting one property or activity is different from deleting the entire account.

Account deletion fences new writes, removes the RevenueCat customer profile, private Supabase evidence objects, authentication account, cloud workspace and evidence metadata, then clears the account-scoped local cache, pending queues, Voice draft, selected-calendar settings, and app-managed files. Cleanup can fail or require a retry; follow any in-app warning before assuming it finished. Apple-linked users may also receive a manual Apple-disconnect step when token revocation cannot be verified.

Self-managed B2 recovery copies and provider security, transaction, or backup records may remain until the responsible provider or operator removes them under the applicable retention or rotation process. Store transaction records and active subscriptions are controlled separately by Apple or Google.

If you cannot access the in-app deletion control, email support@hosthours.app from the address associated with the account. Support may request reasonable verification before acting.

Feature and launch availability

These instructions describe the current repository candidate, not a guarantee that a public App Store or Google Play listing, every provider-backed feature, or every plan boundary is already live. Signed iOS and Android release testing, current store and RevenueCat evidence, the evidence-limit production migration, Voice AI operational controls, public HTTPS pages, and the support mailbox all require final owner verification before launch.

A feature can also be unavailable because of your plan, an unverified entitlement, a rollout flag, device or operating-system support, permission settings, network loss, provider configuration, or a safety kill switch. Manual recordkeeping and Export My Data should remain available when AI features are disabled.

Important recordkeeping limits

HostHours organizes STR and LTR information you enter for your own records and for discussion with a qualified professional. It is not tax, legal, accounting, or financial advice; it does not file returns or determine material participation, deduction eligibility, tax treatment, audit acceptance, or compliance with any record-retention rule.

Hour comparisons, calendar clues, Voice or CSV suggestions, evidence coverage, and record-quality indicators are organizational aids, not independent verification or tax conclusions. You remain responsible for accurate entries, preserving records for the period that applies to you, and reviewing your situation with a qualified CPA or tax professional.
