# Cost Segregation and Participation: Two Sets of Records

Keep depreciation support and participation records together for your CPA. A cost segregation study alone does not determine when a rental loss is usable.

A cost segregation study and a rental work log answer different questions. The study addresses property costs and depreciation classification. The work log helps explain your involvement in an activity.

If a projected depreciation deduction is central to your tax planning, bring both sets of information to your adviser. A study’s deduction estimate does not by itself establish how much loss you can use on a particular return.

## Keep the cost records complete

The [IRS Cost Segregation Audit Technique Guide](https://www.irs.gov/pub/irs-pdf/p5653.pdf) describes examination of cost segregation studies and their supporting methods and documentation. It is examination guidance, not a guarantee that a particular study or deduction will be accepted.

Retain the study, purchase and construction records, depreciation schedules, and facts supporting placed-in-service dates. Keep later corrections or amended schedules with an explanation of what changed.

Do not assume that a professional-looking report resolves every asset classification, basis, or timing question. Your preparer needs the underlying records, including costs that require clarification.

## Keep loss limitations separate from depreciation

Rental classification and participation can affect the use of losses. Basis, at-risk limits, personal-use rules, and other applicable limitations may also matter. [IRS Publication 925](https://www.irs.gov/publications/p925) explains passive-activity and at-risk limits and their interaction with other limitations.

A loss restricted by the passive-activity rules is not necessarily the same as an invalid depreciation deduction. Conversely, a sound participation record does not cure an incorrect depreciation calculation. Have the adviser evaluate both.

There is no universal sequence requiring an examiner to inspect your work log before the study. Prepare the records needed for your return rather than planning around an assumed audit shortcut.

## Link each record to the activity and year

Use consistent property identifiers across the study, work log, invoices, and booking records. Preserve any grouping or election documents the adviser used; a shared spreadsheet folder is not a tax grouping election.

For a renovation, distinguish your own work from contractor labor. Keep service dates separate from payment dates, and preserve the evidence supporting the property’s readiness for use.

If you operate short stays, retain customer-use agreements and any service arrangements. These facts can be relevant to classification before anyone interprets an owner-hour total.

## Resolve questions before relying on a projection

Ask your adviser to identify the assumptions behind the projected current-year benefit. Which activity is being analyzed? Which participation rule is relevant? What records or calculations remain incomplete?

Keep a written list of unresolved items. An estimated work duration should remain identified as an estimate; a missing invoice should remain visible until it is recovered or otherwise addressed. Do not rewrite records to make the projected result appear certain.

Use [preparing a rental work log for your CPA](/blog/prepare-rental-work-log-for-cpa/) for the activity handoff, or download our [Free Rental Property Log Spreadsheet Template](/free-tools/rental-property-log-spreadsheet-template/) to log contemporaneous work. Before claiming cost-segregation depreciation deductions against ordinary income, test your logged hours with our free [Material Participation Test Calculator](/free-tools/material-participation-calculator/). HostHours can organize those facts and supporting references. A Ready packet is not IRS approval, and the application does not validate a cost segregation study or guarantee a deduction.

Clear answers

## Frequently asked questions

Does a cost segregation study guarantee a current-year tax saving?+

No. The depreciation analysis and applicable loss limitations need separate review. A projection depends on the taxpayer's facts and the assumptions behind it.

Does the IRS always review participation before the study?+

No universal examination sequence establishes that claim. Keep both the depreciation support and records relevant to your participation and activity classification.

Can a participation log validate the depreciation calculation?+

No. A log describes work and involvement. Asset classification, basis, placed-in-service dates, and depreciation calculations require their own supporting records.

Does a Ready HostHours packet mean my deduction is approved?+

No. Ready describes product record completeness. It does not validate a depreciation study, establish tax qualification, or promise acceptance by an examiner.
