You close on a house, renovate the kitchen, list it for rent, and welcome the first tenant several weeks later. Those events answer different questions. One “rental start date” cannot describe the whole project.

Keep a dated sequence that shows both the condition of the property and the work performed. This is useful whether your adviser is reviewing depreciation, project costs, or participation.

## Separate readiness from the first tenant

[IRS Publication 527](https://www.irs.gov/publications/p527) explains that depreciation starts when rental property is ready and available for its specific use. The first occupied night is not necessarily that date.

A published listing is relevant evidence, but it is not decisive if the property could not yet be used as offered. Conversely, an available home can remain vacant while you seek a tenant. Preserve completion records, listing details, and applicable inspection or permit documents that explain the circumstances.

An illustrative timeline might be: acquired September 2; essential work completed October 8; available for rent October 10; first tenancy November 1. Your adviser should assess the facts supporting each milestone rather than automatically selecting the first or last date.

## Keep costs separate from hours

For a renovation, record the actual task, person, date, and duration. Keep material purchases and contractor invoices alongside those entries without treating their amounts as a measure of your time.

An owner spending three hours coordinating flooring installation has a different record from a contractor billing for two days of installation. Neither tells the accountant by itself whether a particular expenditure is deductible immediately or must be capitalized.

Do not place a monetary value on unpaid owner labor and add it to the project’s tax costs. Keep the amounts you paid and the work you performed distinct.

## Pre-service time needs its own analysis

The depreciation start date is not a universal switch that decides whether earlier hours count toward every participation test. Record the earlier work instead of discarding it or automatically marking it qualifying.

Real estate professional status and participation in a particular rental activity involve different questions. Construction and rental activities cannot simply be combined because the same person owns them. [Treasury Regulation 1.469-9](https://www.law.cornell.edu/cfr/text/26/1.469-9) explains the relevant activity and qualifying-taxpayer rules.

Give your adviser the purpose of the project, your role, other work or businesses, and any existing grouping elections. A record category such as “renovation” is a description, not a legal conclusion.

## A project handoff that preserves the facts

Keep a short milestone list, the work entries, invoices grouped by project, and an unresolved-questions note. Distinguish essential work needed for availability from improvements completed later.

If a task crossed the readiness date, preserve its actual dates instead of shifting all its hours to one side. If you correct an estimated completion date, explain the source of the correction.

[One property, one tax year](/blog/one-property-one-tax-year/) provides a useful starting point for organizing these records. HostHours can keep work context together for review; it does not establish the property’s tax basis, placed-in-service date, or qualifying participation.

Clear answers

## Frequently asked questions

Is a rental placed in service only when the first tenant arrives?+

No. For depreciation, readiness and availability for the specific rental use matter. A property can be in service before its first tenancy begins.

Are all hours before the placed-in-service date excluded?+

No universal rule uses that depreciation date to decide every participation question. Preserve the work and let your adviser assess the activity, purpose, and applicable test.

Do renovation hours automatically meet the REPS requirements?+

No. The work must be assessed within the applicable real property trade or business and other requirements. A renovation label or a large hour total is insufficient.

Should invoices and my personal hours go in the same total?+

Keep costs and durations separate. Identify paid contractor work independently from your own tasks so each can be reviewed without duplication.
