Separate each rental owner, co-host, and contractor contribution. Prepare useful partnership records without pooling everyone into one hour total.

Two co-owners spend Saturday preparing a rental. One paints for four hours; the other handles two hours of repairs and then leaves. A shared entry saying “six hours of property work” does not show either person’s contribution.

Keep individual records even when a property has one shared budget or one booking account. The person doing the work matters separately from the ownership percentage or profit allocation.

## A partnership total is not an individual total

Material participation is assessed for the taxpayer. Business partners do not automatically combine their hours. Spouses have a separate attribution rule, which should not be extended to siblings, friends, or unrelated co-owners. The spouse rule for participation is also different from the individual requirements for real estate professional status.

[IRS Publication 925](https://www.irs.gov/publications/p925) explains participation, spouse attribution, and limited-partner restrictions. Your adviser should determine which tests apply to your ownership interest; an LLC label alone does not resolve that analysis.

Nor does individual participation alone settle every rental loss. Activity classification, basis, at-risk limits, and other rules can affect the result.

## Record shared projects without merging people

For the Saturday example, keep two entries:

Person

Work

Duration

Alex

Painted bedroom walls, excluding lunch

4 hours

Jordan

Repaired closet track and replaced cabinet hinges

2 hours

Six combined labor-hours are useful for operations. Alex has four recorded hours and Jordan has two. If both worked during the same interval, that is possible; do not reduce one person’s work merely because their schedules overlap. Describe each person’s contribution.

Identify paid cleaners and other non-owner workers separately. A co-host may be an owner, a contractor, or a manager, so record the actual relationship instead of assuming the platform label answers the question.

## Comparisons depend on individual contributions

Some participation tests compare an owner’s work with other individuals’ work. Under the more-than-100-hours comparison test, the owner must participate at least as much as any other individual. That is Test 3, not Test 2, and a tie is allowed.

For example, 115 hours would fall short of another person’s 145 hours under that comparison. The owner may have other applicable tests to consider; this comparison alone does not decide the entire return.

Keep the records needed for the comparison, including uncertainty about provider time. Do not assign all of a management company’s labor to one unnamed person or assume unavailable records mean zero work.

## Build a handoff each owner can use

Agree on property names and task descriptions, then keep each person’s duration attributable. Reconcile duplicate entries for the same person’s work and preserve relevant invoices or communications.

Give your tax preparer the ownership and management agreements alongside the records. Partnership reporting and each owner’s return require professional review; a log is only part of that information.

Use [recording who did the rental work](/blog/record-who-did-rental-work/) as the shared entry standard. Do not assume that sharing a HostHours workspace or report automatically provides every co-owner with a separate qualifying tax record.

## Frequently asked questions

Can unrelated partners pool their participation hours?+

Not automatically. Each taxpayer needs an individual analysis. Keep each partner identifiable rather than treating the partnership total as every partner's personal time.

Does the spouse participation rule require a joint return?+

Spouse participation can be attributed under the participation rule regardless of a joint return. Separate requirements apply when assessing real estate professional status.

How should we record work performed at the same time?+

Record each person's actual task and duration. Overlapping schedules can be legitimate, but a combined labor total should not be assigned in full to each individual.

Does receiving a Schedule K-1 determine whether my loss is passive?+

No. Your adviser must evaluate the activity and your circumstances, including applicable participation and loss-limitation rules. The K-1 alone does not establish the outcome.
