A rental work log might explain a repair in detail while saying very little about the drive to get there. If you want your adviser to review vehicle expenses, preserve the trip facts as well as the task.

Start with the route and purpose. Keep personal stops visible, and distinguish distance traveled from time spent on rental work.

## What to record for a trip

For each business trip, keep its date, destination, business purpose, and mileage. Odometer readings can help establish distance. Also retain total mileage for the year and the information needed to distinguish business use from commuting and other personal use.

[IRS Publication 463, Recordkeeping](https://www.irs.gov/publications/p463) explains vehicle substantiation, including the separate information needed under different expense methods. A mileage record does not replace receipts needed to support actual vehicle costs.

An illustrative entry could read: “September 9: supply store to Oak Street rental to deliver replacement valve; 8.4 miles. Installation recorded separately.” Include the starting location and any return segment so another reader can follow the route.

## Keep mixed trips understandable

If you stopped for a personal errand, record that detour instead of assigning the entire trip to the rental. When visiting several properties, list the stops and the tasks that explain them.

A route calculated afterward is a reconstruction, not an odometer observation. Preserve the method and its limits. Fuel purchases alone do not identify business miles, and toll records do not explain the driver’s purpose.

Ask your adviser how to treat travel from home, temporary work locations, and a home office. Commuting rules depend on the facts. Stopping at a hardware store does not automatically turn an otherwise personal commute into deductible business travel.

## Missing records need specific support

Vehicle expenses have stricter substantiation rules than a general estimate of annual business use. An unsupported percentage or guess at mileage is not an adequate substitute.

That does not mean every missing original log automatically eliminates every possible claim. Publication 463 describes incomplete and destroyed records and the supporting evidence needed in those circumstances. Bring your available records and the reason for the gap to your adviser promptly.

Do not create a sequence of supposedly contemporaneous trips from an annual mileage target. Label later reconstruction honestly and retain the source material.

## Distance and participation time answer different questions

A trip may raise both an expense question and a participation question. Keep miles, driving duration, and the on-site task in separate fields or clearly separated notes. Eligibility for a vehicle deduction does not automatically establish that the travel time counts toward a participation test.

For an out-of-town visit, preserve the itinerary and distinguish rental work from personal activities. A multi-day trip is not a multi-day block of continuous labor.

[Rental-property travel records](/blog/rental-property-travel-records/) explains how to link the trip to the work. HostHours can organize work context and supporting files; retain the underlying mileage records needed for your vehicle-expense review.

Clear answers

## Frequently asked questions

What belongs in a rental mileage record?+

Keep the trip date, destination, purpose, and mileage, along with annual total mileage and the business-versus-personal use context needed for your expense method.

Does a hardware-store stop make a trip deductible?+

Not automatically. Commuting, home-office, temporary-location, and mixed-purpose rules depend on the circumstances. Give your adviser the full route and purpose.

Can I recover a claim if my original mileage log is missing?+

Specific corroborating evidence may help establish missing elements under the applicable rules. Explain the gap and reconstruction method; unsupported mileage guesses are insufficient.

Do deductible business miles also prove participation hours?+

No. Distance, expense treatment, and participation time are separate questions. Preserve the driving duration and work performed for an independent review.
