An evening reviewing rental finances can include several different jobs. You might compare investment returns, approve a repair, and answer a tenant’s question in the same sitting. A single entry called “management: two hours” hides those differences.

Record what you did before deciding how the time should be treated. Your CPA needs the underlying work, including any part that may be investor activity.

## Where the investor-work exclusion applies

[Treasury Regulation 1.469-5T(f)(2)(ii)](https://www.law.cornell.edu/cfr/text/26/1.469-5T) excludes work done in an investor capacity unless the individual is directly involved in day-to-day management or operations. Its examples include reviewing financial reports, preparing analyses for personal use, and monitoring finances without a managerial role.

Reading a statement is therefore not enough information to classify an entry. Reviewing it to understand your investment return differs from investigating a tenant’s disputed payment and instructing the manager to correct the ledger. Describe the action and its purpose without assuming either receives a particular tax treatment.

## Split a mixed session by the work performed

Here is an illustrative record, not a suggested allocation:

Work performed

Actual time

Supporting context

Compared projected returns on three properties for possible purchase

25 minutes

Personal analysis spreadsheet

Compared two repair estimates for the existing rental and authorized a plumber

18 minutes

Estimates and approval email

Checked a tenant’s payment discrepancy with the manager

12 minutes

Ledger query and response

Those entries total 55 minutes. They do not become 55 qualifying minutes merely because they sit in a rental-work log. Keeping the activities separate lets a reviewer assess each one.

If you only know the total duration, say that the allocation is uncertain. Do not invent precise minutes later or count the same interval in multiple categories.

## Describe decisions without relabeling research

“Authorized replacement of the leaking kitchen supply line after reviewing two estimates” tells a reader what happened. “Strategic asset management” does not explain the work.

Better wording cannot change the substance of a task. Keep the original financial analysis if it explains the session, and identify the property or existing activity involved. If a session concerns a possible acquisition, flag that fact instead of assigning it to a property you did not yet own.

Acquisition work and real property trades or businesses raise questions beyond this investor-work exclusion. Ask your adviser to assess your circumstances; a blanket rule that all acquisition time counts, or none can count, is too broad.

## Prepare a useful review set

Before sending the log, check that each entry identifies the person, date, property, task, and duration. Separate personal investment monitoring from operational decisions where the facts allow it. Keep unresolved classifications visible in a short questions list.

Use the examples in [writing a rental-work note someone else can understand](/blog/rental-work-note-someone-else-can-understand/) to improve vague entries. HostHours can organize the activity facts for review; a category label or hour total does not decide material participation or deductibility.

Clear answers

## Frequently asked questions

Does reviewing a rental statement count as participation?+

The purpose and your role matter. Record whether you were monitoring investment performance or taking an operational action, and ask your adviser to assess the facts.

Can I combine research and repair coordination in one entry?+

You can preserve the session, but separate the tasks and their durations when known. Mark uncertain allocations instead of assigning invented minutes to each task.

Does changing a task category make the hours qualify?+

No. The work performed determines the analysis. Renaming investment research as management does not change what happened.

What should I keep for an operational decision?+

Keep the date, property, action, person, and time spent. Relevant estimates or correspondence can explain the decision without proving every minute by themselves.
