An STR launch produces a mixture of receipts, deliveries, assembly work, listing edits, and contractor visits. Recording everything as “furnishing weekend” makes it hard to tell what you bought, what you did, and when the home became available to guests.

Create a setup record while the work is happening. Keep purchases and personal labor distinct so your accountant can review the costs and participation questions separately.

## Organize the launch by task

Setup area

Work to describe

Useful supporting material

Furniture

Receiving, assembly, placement, or repairs

Order, delivery confirmation, photos

Supplies

Inventorying and placing guest supplies

Itemized receipts and inventory

Access

Installing or testing locks and instructions

Installation invoice and test notes

Listing

Photographing rooms and preparing factual listing details

Listing version and publication date

Handoff

Showing a cleaner the property and reviewing turnover tasks

Checklist and provider agreement

These are examples of work to record, not a list of automatically qualifying tax hours. Separate breaks, personal shopping, and time spent waiting without performing a task.

## Distinguish your labor from a supplier’s work

An illustrative entry could read: “September 10, Pine Cottage: assembled two bedside tables and secured loose drawer handles, 65 minutes. Delivery company brought the boxes earlier.”

That record does not attribute the delivery crew’s work to the owner. If a contractor installed a lock while you configured the guest instructions, record each contribution separately rather than claiming the contractor’s full installation time.

Your time log also does not create an expense deduction for the value of your own labor. Keep actual purchase and service costs in the financial records, with enough detail for the adviser to classify them. [IRS Publication 527](https://www.irs.gov/publications/p527) discusses rental expenses, improvements, and basis.

## Preserve the sequence of launch dates

Record acquisition, work completion, readiness for rent, listing publication, and the first guest stay as separate events. They need not occur on the same day.

For depreciation, readiness and availability for the intended rental use matter. A listing can be published while work remains unfinished, or the first guest may arrive weeks after the property became available. Preserve the facts supporting the relevant date instead of treating a platform timestamp as conclusive.

Photographs, inspection documents where applicable, and communications about availability can help explain the sequence. They should describe the actual condition and availability, including restrictions or remaining work.

## Review the launch packet

Before moving into routine operations, reconcile delivered items with receipts, identify who performed each major task, and resolve duplicated work entries. Keep any uncertain duration or classification in the questions for your accountant.

Setup work can raise different questions about real property trades or businesses, the relevant activity, and the treatment of costs. A “setup” category does not answer those questions.

Use [quick log, detailed entry, repeat, or timer](/blog/quick-log-detailed-entry-repeat-or-timer/) to choose a practical way to capture the work in HostHours. Review the resulting entries before relying on them for your launch-year handoff.

Clear answers

## Frequently asked questions

Does furnishing an STR automatically produce qualifying hours?+

No. Record the actual work, timing, property, and person. Your adviser must assess the relevant activity and test rather than relying on a setup category.

Can I deduct the value of my own furniture-assembly time?+

A time record does not create a deduction for your own labor. Keep actual purchases and paid services separate for expense or basis review.

Is the first booking date always the placed-in-service date?+

No. Readiness and availability for the intended rental use matter. Keep listing, completion, availability, and first-guest dates distinct.

How do I record a contractor helping during setup?+

Identify their work separately from yours. Keep invoices or service details and record only the tasks and duration you personally performed in your own entry.
