You export a year’s rental entries in January. The file’s creation date is January, even if you recorded the underlying work throughout the previous year. That timestamp describes the export, not when the work happened.

Digital records can preserve useful context, but a spreadsheet is not automatically unreliable and an app is not automatically authoritative. What matters is whether the records explain the work and support the account you give your adviser.

## Distinguish the dates in a record

A work date identifies when a task occurred. An entry date identifies when someone recorded it. A modification date may describe a later correction, while an export date describes the generated file.

Do not use one date as a substitute for another. Software can record a note immediately after a task, import an older note, or accept a correction weeks later. None of those timestamps alone proves who performed the work or its duration.

If you move records between systems, retain the original files and an explanation of the import. Copying a document may change file metadata without changing its underlying factual account.

## Reconstructed records need an honest method

[Treasury Regulation 1.469-5T(f)(4)](https://www.law.cornell.edu/cfr/text/26/1.469-5T) permits reasonable means of establishing participation. It does not impose a universal contemporaneous daily-log requirement. That flexibility is not permission to invent hours.

When reconstructing a missing period, start with available calendars, messages, invoices, and notes. Identify the services performed, the basis for approximate time, and what remains uncertain. Preserve both the source and the reconstruction date.

For example: “Added January 12 from the September 6 plumber appointment and same-day notes; approximately 40 minutes of access coordination. The invoice records the plumber’s separate work.” This explains the basis without pretending the entry was made in September.

## Make corrections understandable

Suppose you discover that a two-hour maintenance entry included a 30-minute personal break. Correct the duration and explain the change. Do not conceal a supported correction merely to make the record appear untouched.

If your software keeps revisions, retain the available history. If it does not, an accompanying correction note and preserved earlier export can help explain the difference. Avoid describing records as immutable unless the system actually provides that guarantee and its limits are understood.

## Understand what HostHours review means

HostHours monthly review and packet readiness help organize a handoff. They do not verify that a claimed task happened. A reviewed month can be reopened for correction; it is not permanently frozen evidence.

The [Ready or DRAFT packet guide](/blog/hosthours-packet-ready-or-draft/) explains the product’s status and export distinctions. Preserve the copy you share with your adviser and relevant original attachments rather than assuming that every export is archived for you.

Choose the tool that you will maintain consistently. If you prefer to track manually in a spreadsheet, download our [Free Rental Property & REPS Log Spreadsheet Template](/free-tools/rental-property-log-spreadsheet-template/) which structures the 7 essential audit columns, or compare options in our [REPS Tracking Apps vs Spreadsheets Guide](/compare/best-apps-to-track-reps-hours/). You can also test your numbers with our [Material Participation Test Calculator](/free-tools/material-participation-calculator/). A clear record with sources and visible uncertainties gives a reviewer more to assess than an impressive timestamp attached to a vague annual total.

Clear answers

## Frequently asked questions

Does a January export date mean my entries were created in January?+

No. The export date describes the generated file. Work dates, original entry dates, and correction dates can differ and should be explained separately.

Are reconstructed participation records always unacceptable?+

No. The regulations allow reasonable means of proof. A reconstruction should identify its source, method, approximate durations, and uncertainties without inventing facts.

Does a digital timestamp prove that I performed the work?+

No. It can establish a system event, such as recording or exporting a note. It does not independently prove the work, the person, or the duration claimed.

Is a finalized HostHours month permanently immutable?+

No. Monthly review restricts regular editing, but a month can be reopened for correction. Review status does not certify tax treatment or the truth of each entry.
